New Starter — First‑Day IT Setup Checklist

Category: New Starter Setup · Audience: Managers, New Starters & Technicians · Est. time: 30–60 min

Summary

A checklist to get a new employee productive on day one, and what to request from BBN ahead of time. Give BBN at least a few business days' notice so accounts, licences, and hardware are ready.

Ask BBN to prepare (before day 1)

  • [ ] User account (Microsoft 365 / Active Directory) with the right email address and licence.
  • [ ] Group/permission membership matching their role (shared mailboxes, drives, apps).
  • [ ] Computer provisioned (imaged, updated, encrypted) and any phone/desk phone/extension.
  • [ ] Access to line‑of‑business apps, VPN profile, and printers.
ℹ️ Send BBN: full name, start date, job title/department, who to mirror access on, and any special software.

Day‑one checklist (new starter + manager)

  1. Sign in to the computer with the credentials BBN provided; set a strong password when prompted.
  2. Set up MFA — install Microsoft Authenticator and register (see *Set Up Multi‑Factor Authentication*). Do this first; most things need it.
  3. Sign in to Microsoft 365 — open Outlook and Teams, confirm email and calendar load.
  4. Set up email on the phone (Outlook app) — see *Set Up Work Email on iPhone or Android*.
  5. Connect to Wi‑Fi / network and, if remote, the VPN.
  6. Printers — add the office printer(s) (see *Add a Network Printer*).
  7. Shared drives / SharePoint / Teams — confirm access to the folders and sites they need.
  8. Desk phone / softphone — confirm the extension works (see the VoIP articles).
  9. Security basics — quick reminder on phishing and never sharing passwords/MFA approvals.

If something's missing

  • Account not working, no licence, missing access, or no hardware → raise a ticket with BBN Support, referencing the new starter's name and what's missing.

Prevention

  • Use a standard onboarding request to BBN with plenty of notice; keep a per‑role access template so new starters get consistent, correct access.
