OneDrive Not Syncing on Windows 11

Category: Windows 11 · Audience: Customers & Technicians · Est. time: 10–25 min

Summary

OneDrive stuck on "Syncing", "Processing changes", or showing a red X usually comes down to sign‑in, a file conflict, or space. Work through in order.

Symptoms

  • OneDrive cloud icon shows a red X or "Sign in"
  • Stuck on "Syncing…" or "Processing changes"
  • Files not appearing on other devices

Solution

  1. Check the OneDrive status. Click the cloud icon in the taskbar (bottom‑right, may be in the hidden ^ tray). Read the message — it usually names the problem.
  2. Confirm you're signed in. If it says Sign in, sign in with the correct work/school or personal account. Using the wrong account is a common cause.
  3. Check for a paused sync. Cloud icon → Settings (gear) → Resume syncing if paused. OneDrive auto‑pauses on metered/battery.
  4. Look for blocked files. OneDrive won't sync files that are open/locked, over 250 GB, or contain illegal characters (" * : < > ? / \ |). Close the file or rename it.
  5. Check storage quota. If the OneDrive/account storage is full, sync stops. Free space online or ask BBN Support to review the licence/quota.
  6. Restart OneDrive. Cloud icon → Settings → Quit OneDrive, then relaunch it from the Start menu.
  7. Reset OneDrive (Technician). Press Win + R and run:
%localappdata%\Microsoft\OneDrive\onedrive.exe /reset

Wait 2–3 minutes for it to re‑sync; if it doesn't reopen, launch OneDrive from Start.

If that doesn't work

  • Unlink and re‑add the account: cloud icon → Settings → Account → Unlink this PC, then set it up again.
  • Confirm the file/folder path isn't too long (260‑character limit) — deep nested folders block sync.
  • Escalate to BBN Support with the account email and the exact status message shown.

Prevention

  • Keep filenames free of special characters and paths reasonably short.
